Registration, Payment & Cancellation

Agreement to these terms

Smiles in the Sun 2027 is produced by Newcom Media Inc. and Oral Health Media, and hosted by Howard S. Glazer, DDS and Melissa Summerfield. In these terms, “we” and “us” mean Newcom Media Inc., and “the meeting” means Smiles in the Sun 2027, held April 7 to 10, 2027 at The Resort at Longboat Key Club, 220 Sands Point Road, Longboat Key, Florida 34228, United States.

By registering for the meeting, paying a registration fee, or attending any session, meal or social event associated with it, you agree to the terms on this page on behalf of yourself and any guest, spouse, staff member or child you register. If you are registering someone else, it is your responsibility to make these terms known to them.

We may update these terms. The version that applies to you is the version published on this page at the time you register, and the date it was last changed is shown above. If we make a change that affects a registration already paid for, we will contact you directly rather than rely on this page.

Registration and payment

All fees are in US dollars. A registration is confirmed once payment has been received and we have sent you a confirmation. Rates are set by the date payment is received, not the date you started a registration, so a rate change takes effect at the deadline regardless of when you began.

2027 rates are:

  • Early Bird doctor: $1,995, a saving of $300, for payment received on or before October 31, 2026
  • Doctor: $2,295 from November 1, 2026 through January 31, 2027
  • Doctor: $2,495 from February 1, 2027 onward
  • Staff, spouse or guest: $695 per person through January 31, 2027, then $795 per person from February 1, 2027 onward

Discounts are available for multiple staff, recent graduates, active military, children and families. These are not applied automatically. Call Howard Glazer at (201) 264-9580 before you pay.

Tuition covers the full three-day program, 20 PACE and AGD-approved CE credits, and every scheduled meal, reception and social event. It does not cover travel, your hotel room, the optional fishing tournament, spa or golf charges, or anything else billed to you directly by the resort.

A registration is for a named person. If that person can no longer attend, you may transfer the registration to someone else in the same practice at no charge by emailing melissa@newcom.ca before the meeting, provided the replacement qualifies for the same rate category. Registrations may not be resold or shared between two people across different days.

Cancellation and refunds: meeting registration

To cancel, email melissa@newcom.ca. We use the date we receive your written cancellation, not a postmark or a voicemail, to determine which tier applies. Please do not cancel by phone alone.

All refunds are subject to a $100 processing fee. The fee is deducted from the amount refunded. A 50% refund of a $2,295 registration is $1,147.50, less the $100 fee, so $1,047.50 is returned to you.

Refunds are issued to the original method of payment and typically take two to three weeks to appear. This policy covers your meeting registration only. The fishing tournament and your hotel room are cancelled separately and under different rules, described below.

If you cannot attend but do not want a refund, you may transfer your registration to a colleague in the same practice at no charge. See Registration and payment.

Fishing tournament

The Wednesday morning fishing tournament is an optional add-on and is not included in any registration tier. The fee is $395 per person and covers the boat, tackle, bait, lunch and entry for cash prizes.

Cancelling your own place

The fishing fee is refundable, less the $100 processing fee, if you cancel in writing on or before February 23, 2027. After February 23, 2027 the fishing fee is non-refundable, because charter boats are booked and paid for on our side by that date. This deadline is earlier than the meeting registration deadlines above and applies even if you cancel your meeting registration at the same time.

If the charter cannot sail

The captain has sole authority over whether a boat leaves the dock, and will not sail in unsafe weather or sea conditions. If your boat is cancelled by the captain or by us for weather, mechanical or safety reasons, and no alternative sailing can be arranged during the meeting, your $395 fishing fee is refunded in full with no processing fee deducted. If the boat sails and you choose not to go, or you are late to the dock, the fee is not refunded.

A cancelled sailing does not affect your meeting registration, which continues as normal, and does not entitle you to any refund or credit against travel, accommodation or other costs.

Participation and risk

The tournament is operated by independent third-party charter operators, not by Newcom Media Inc. Participation is voluntary and at your own risk. Being on the water carries risks that cannot be eliminated, including rough water, sun and heat exposure, seasickness, slips on a moving deck, and injury from tackle or equipment. By taking part you confirm that you are physically able to do so, that you will follow the captain’s instructions and safety briefing at all times, and that you accept those risks.

The charter operator may require you to sign its own waiver at the dock, and may refuse to carry anyone who appears unfit to sail. Alcohol is at the operator’s discretion. Neither Newcom Media Inc. nor The Resort at Longboat Key Club is responsible for the acts or omissions of the charter operator, or for personal property lost or damaged on the water.

Hotel reservations and hotel cancellation

Your room is booked directly with The Resort at Longboat Key Club and is a separate contract between you and the resort. We do not book, hold, guarantee or cancel rooms on your behalf, and your registration does not include accommodation.

Book through the group link on our Venue & Travel page to get the Smiles in the Sun 2027 rate, or call the resort at 1-888-237-5545 and mention Smiles in the Sun 2027. Standard rooms start at $367 USD per night. A resort fee of $20 per night, or $60 for two-bedroom suites, plus 13% tax is added by the hotel. The room block is held for the nights of April 7 to 11, 2027. Check-in is 4:00pm, check-out is 11:00am, a major credit card is required, and you must be 21 or older to reserve a room.

Cancel your room directly with the resort at least 14 days before your arrival date to avoid a penalty. Cancellations inside 14 days will be charged by the resort at the group rate. The resort sets and enforces this policy, it is not ours to waive, and cancelling your meeting registration does not cancel your room.

Group rates are available, subject to the resort’s availability, for up to five nights before the group arrival and five nights after the group departure, if you want to extend your stay. Rates shown on this site are as of August 2026 and are confirmed by the resort at the time of booking.

Travel insurance

We strongly recommend travel insurance that covers trip cancellation and interruption, medical care away from home, and lost baggage. Our refund tiers are fixed by the deadlines above and we cannot make exceptions for flight cancellations, weather, illness, family emergencies or last-minute practice obligations. Insurance is the only thing that protects you against those, and it is usually inexpensive relative to the cost of the trip.

At The Meeting

Program changes and speaker substitutions

The program, speakers, topics, session times and social events published on this site are our current plan and are subject to change. Speakers occasionally have to withdraw. Where that happens we will substitute a comparable speaker or topic, or reallocate the time within the program, and we will post the change on the Program page.

A change of speaker, topic, session time or venue within the resort is not a cancellation of the meeting and does not entitle you to a refund outside the tiers above. If a speaker withdraws and we cannot replace the session, the CE credit total for the meeting may be adjusted, and we will tell registrants in writing if that happens.

Continuing education credits

The meeting offers 20 PACE and AGD-approved continuing education credits across the three-day program. Credits are awarded for attendance at the sessions you actually attend, so leaving a session early or arriving late may reduce the credits recorded for you. Sign in as directed at each session.

Certificates are issued after the meeting. It is your responsibility to confirm that credits earned at this meeting are accepted by your own state, provincial or territorial licensing body, and to keep your own records. We cannot retroactively award credit for a session you did not attend, and we cannot guarantee acceptance by any particular regulator.

Guests, staff and children

Spouses, guests, staff and children are welcome and must be registered and paid for at the staff, spouse or guest rate to attend meals, receptions and social events. Unregistered guests cannot be admitted, including to the Meet & Greet, the Putting Tournament & Dinner, the Beach Bash BBQ and Sundaes on Saturday.

Children remain the responsibility of their parent or guardian at all times. We do not provide childcare, supervision or a kids’ program, and the resort’s pool, beach and golf facilities have their own rules and age limits that the resort enforces. Registration for a guest or child does not include CE credit.

If you have a dietary restriction or allergy for yourself or anyone you have registered, email melissa@newcom.ca ahead of the meeting so we can arrange it with the resort. We cannot reliably accommodate requests made on site.

Code of conduct

Smiles in the Sun is a professional meeting and a family one. We expect everyone attending, including guests and children, to treat attendees, speakers, sponsors, resort staff and our team with respect.

Harassment, discrimination, threats, and behaviour that disrupts a session or a social event are not acceptable. We may, at our discretion, ask anyone whose conduct is unacceptable to leave a session, a social event, or the meeting entirely, without a refund. This is separate from the resort’s own rules for its property and guests, which the resort enforces on its own terms.

Accessibility

We want everyone to be able to take part. If you need an accommodation to attend or participate fully, whether that is seating, mobility access, assistive listening, dietary needs or something else, contact Melissa Summerfield at (416) 951-5120 or melissa@newcom.ca as far ahead of the meeting as you can. Some arrangements depend on the resort and need lead time.

Media, Privacy & Liability

Photography, video and media

Smiles in the Sun is photographed and sometimes filmed. By attending, you consent to being photographed, filmed and recorded, and you grant Newcom Media Inc. and Oral Health Media the right to use those images, video and audio, and your name, likeness and professional title, without payment, in any medium, to promote this and future editions of the meeting and in Oral Health Media editorial coverage.

If you would prefer not to appear, tell a photographer on site or email melissa@newcom.ca and we will do our best to keep you out of the frame and to remove you from anything we have already published. Please note we cannot control photographs taken by other attendees, sponsors or the resort.

Recording a session yourself, in audio, video or photographs of slides, is not permitted without the speaker’s consent. Presentation content belongs to the speakers.

Privacy and your information

We collect the information you give us when you register, which is used to process your registration and payment, to communicate with you about the meeting, to arrange your meals and events with the resort, and to issue your CE certificate. Payment card details are handled by our payment processor and are not stored by us.

We may share your name, professional title, practice and city with sponsors and exhibitors at the meeting, as is standard for this kind of event. We do not sell your information. If you would rather not be included in a sponsor list, email melissa@newcom.ca before the meeting.

This website uses analytics and marketing cookies to understand how the site is used. Liability and assumption of risk

You attend the meeting, and take part in its sessions, meals, social events and optional activities, voluntarily and at your own risk. That includes the beach, the pool, the golf course, the putting tournament, the fishing tournament and travel to and from the resort.

To the fullest extent permitted by law, Newcom Media Inc., Oral Health Media, their staff, directors, hosts, speakers and sponsors are not liable for personal injury, illness, death, or loss of or damage to property, sustained by you or anyone you register while travelling to, attending or returning from the meeting, except to the extent caused by our own negligence.

We are not responsible for the acts or omissions of third parties, including The Resort at Longboat Key Club, charter boat operators, airlines, ground transport, and sponsors and exhibitors. Sessions are continuing education, not clinical advice for a specific patient; clinical judgment in your own practice remains yours.

Nothing in these terms limits any liability that cannot lawfully be limited.

Event cancellation and circumstances beyond our control

If we have to cancel the meeting outright, registrants will be offered a full refund of registration and fishing fees paid, with no processing fee deducted, or the option to carry the registration forward to the following year.

If the meeting cannot go ahead as planned because of something outside our reasonable control, including severe weather, hurricane, a public health order, an act of government, a failure or closure of the resort, loss of power or water, strike, civil unrest or an act of terrorism, we may cancel, shorten, postpone or move the meeting, or run parts of it differently. Where that happens we will refund or credit registration fees as far as we reasonably can after unrecoverable costs, and we will tell registrants promptly and in writing.

In no case are we responsible for your travel, accommodation or other costs, or for lost practice income, if the meeting is cancelled, shortened, postponed or changed. This is the main reason we recommend travel insurance. See Travel insurance. Your hotel booking is a separate contract with the resort and is subject to the resort’s own cancellation policy.
